What is Exchange Leave?
It is a mandatory procedure for all students selected in notices managed by DERI.
The exchange leave ensures that the student maintains his/her enrollment at Unicamp while abroad on mobility.
The withdrawal is requested by sending the mandatory documents within the deadline established by the DAC, according to the Academic Calendar.
All instructions are on the page Clearance.
How is the exchange leave done?
Students must upload the following documents to the SIGA system:
Syllabus -Must contain the subjects that the student intends to study during the exchange.
-
-
If the destination university requires a specific template, this document can be used.
-
If the foreign university does not request a specific template, the student can prepare a free-formatted document with the subjects he/she intends to take. To do this, it is recommended to seek guidance from the course coordinator.
- DERI prepared a model of study plan to be used as a reference in situations such as a request from the foreign university of destination or for the purpose of exchange leave. Remembering that the use of this model It's not mandatory and can be adapted as needed.
-
Important: the study plan is not definitive and may be adjusted after arrival in the country and at the destination university.
If there are any changes to the original study plan, it is not necessary to upload it again to the SIGA system. Changes can be sent directly to the course coordinator by email.
Letter of Acceptance – issued by the home university;
Health insurance – Must include medical, hospital and repatriation coverage for the entire period of the exchange.
After sending the above documentation, the course coordinator will analyze and validate the documents directly in the SIGA system.
Once the documentation is validated, including information about the duration and period of the exchange, the absence will be automatically registered in the SIGA system and will appear on the academic transcript.
I'm going on an exchange program but I wasn't selected by a DERI notice. How do I cancel my internship due to an exchange program?
For students who carry out an exchange independently, outside of a public notice and as free-movers, the procedure is detailed on the DAC website, in the section “Semester Lock".
What is the deadline for sending documents for Leave via the SIGA system?
The deadline for sending documents is always the last day of the Registration Change period, as stipulated in the DAC Calendar.
If the student does not submit the documents by the date established in the Academic Calendar and has not enrolled in courses, he/she may be subject to automatic or ex officio suspension.
Additionally, if you have used automatic locking previously, your registration may be cancelled.
It is usually the Acceptance letter from the host university. It is a document issued by the University and/or scholarship awarding agency informing that the university accepts the student's participation in the exchange.
It must be official, signed by a representative of the university or agency abroad, and contain the name of the student, the period of the exchange and the name of the College/Institute where he/she will be enrolled.
The Letter of Acceptance is required for the process of withdrawal due to exchange reasons.
Is it mandatory to purchase health insurance, or can I opt out?
Yes, the insurance contracting follows a Unicamp Standard (Resolution CONSU-A-001/2012, of 27/03/2012 ).
Furthermore, insurance is a way to ensure that the student has adequate coverage against accidents, illness or death when traveling abroad.
IMPORTANT: In the case of students selected in DOUBLE DEGREE notices, health insurance with medical, hospital and repatriation coverage is ALSO mandatory, starting on the date of departure from Brazil until at least two or three months after arrival in France, during which period French insurance must be purchased.
What type of health insurance is required for lockout?
Insurance covering the following is mandatory: medical and hospital expenses, medical repatriation and funeral expenses, accidental death and total or partial permanent disability resulting from an accident.
This insurance must cover from the date of departure from Brazil until the date of return (from the day you go to the airport in Brazil until you arrive at the airport in Brazil).
No case of double diploma notices, that are not managed by DERI However, according to professors responsible for agreements with partner universities, many French institutions require students to sign up for French social security (which is free, like the SUS).
For information on this subject, visit the website of Campus France (French mobility agency) at the link https://www.campusfrance.org/en/registering-to-social-security.
If the university or destination country requires the purchase of specific insurance there, do I still need to purchase insurance before leaving Brazil?
Yes, it is mandatory to purchase insurance before leaving Brazil. If the host university requires its own insurance, unfortunately it may be necessary for the student to purchase two insurance policies to ensure coverage for medical and hospital care, medical and health repatriation and transfer in the event of death.
Do I have the option of not doing the exchange transfer?
In notices managed by DERI, no, as the exchange leave is a mandatory procedure for the exchange to be effective and registered.
In notices managed by teaching units, it will depend on the decision of the person responsible for the notice, but normally the removal is also mandatory.
